Why This Feature Matters
Agent turnover is a constant in real estate, whether it's driven by career changes, burnout, or shifts in the market. A recruiting funnel built on your existing Sierra tools means you're never starting from zero when you need to hire. A repeatable recruiting system helps you maintain:
- Full lead coverage and consistent follow-up across your team
- Room to grow into new markets and specialties
- Stronger team culture and long-term profitability
Because your IDX website and CRM already handle lead capture and nurture for buyers and sellers, you can apply the same structure to agent recruiting without adding new tools.
Before You Begin
- Access to the Client Admin Area (CAA) to create or edit Content Pages
- Ability to add and configure forms and lead tags
- A Smart Filter or Action Plan permission level sufficient to build a recruiting-specific follow-up sequence
- Accounts with your ad platforms of choice (Google Ads, Facebook Ads) if you plan to drive paid traffic to your recruiting page
Note: Google Ads and Facebook Ads are third-party platforms managed outside of Sierra. Their interfaces and targeting options change independently of Sierra's release schedule. For current setup steps, refer to Google's and Meta's own advertising documentation.
Step-by-Step Instructions
1. Build Recruiting Content on Your Blog
Before or alongside building your dedicated recruiting page, use your blog to establish credibility with prospective agents. Publish posts on your training philosophy, market leadership, and agent success stories, along with behind-the-scenes looks at daily operations. This kind of content naturally attracts agents who align with your specific operating style, and it gives you material to link back to from your recruiting page.
2. Create a Recruiting Page on Your IDX Website
Start with a dedicated page that makes the case for joining your team. At minimum, include:
- Headline: Lead with the outcome, e.g. "Grow Your Real Estate Career with [Team Name]"
- Intro: Highlight mentorship, support, culture, and the technology you provide
- Why Join Us: Call out concrete benefits such as lead and CRM access, training and mentorship, marketing and IDX visibility, commission structure, and team culture
- Call-to-action: A direct, low-friction prompt like "We're hiring motivated agents, let's talk"
- Supporting content: Testimonials, team photos, and standard SEO elements (H1s, keywords, meta tags)
3. Add a Career Form to the Page
- In the CAA, go to Content > Content Pages

- Create a new Content Page (or edit an existing recruiting page)

- Add a Contact Form from the Page Components
- Select the Careers form template and rename it to something specific, such as "Join Our Team"
- Add a Recruiting tag to the form so submissions are auto-categorized when they arrive in the CRM
- Publish the form to your recruiting page
4. Drive Traffic to Your Recruiting Page
Use paid social and search to reach both passive and active candidates:
- Target passive agents through social platforms
- Target active seekers searching phrases like "real estate careers in [City]"
- Keep ad copy consistent with the messaging on your recruiting page so the click-through experience feels seamless
5. Nurture Agent Leads in the CRM
- Confirm new leads from the recruiting form arrive tagged Recruiting
- Assign a dedicated Lead Status for recruits, separate from your buyer and seller statuses, so your pipeline reporting stays clean
- Use Smart Filters to segment recruiting leads away from your buyer and seller pipelines
- Assign a follow-up Action Plan built specifically for recruiting, mixing calls, emails, and texts
- Personalize outreach rather than relying on generic buyer/seller messaging
- Add these leads to a Drip Campaign that shares team success stories, culture highlights, and an overview of your onboarding process
6. Follow Texting Compliance Best Practices
If your recruiting Action Plan includes texting, keep messages compliant:
- Personalize the message and state your intent clearly
- Avoid language that reads as promotional or spammy
- Stay FCC compliant, per Texting Best Practices to Avoid Blocked Messages and Get Replies and Opt-In Consent and Opt-Out Messages for Compliant Texting
Best Practices
- Keep branding consistent across your recruiting page and any ads pointing to it
- Mobile-optimize the recruiting page, since most candidates will first see it on a phone
- Follow up with new recruiting leads quickly and intentionally, the same urgency you'd apply to a buyer lead
- Feature testimonials from current team members to build trust
- Review your recruiting funnel's performance on a regular schedule, not just when you need to hire
Troubleshooting Common Issues
-
The career form isn't receiving submissions.
Confirm the form is published and visible on the live site, and that it's linked from your main navigation or homepage. -
Leads aren't being auto-tagged as Recruiting.
Double-check that the Recruiting tag is attached to the form itself, not just applied manually after the fact. -
Ads aren't converting into form submissions.
Revisit your targeting and ad copy, and confirm the messaging matches the value proposition on the landing page.
FAQs
-
Can I reuse an existing Action Plan for agent recruiting?
It's best to build a dedicated plan. Recruiting messaging and timing are different enough from buyer or seller follow-up that a custom plan performs better. -
How do I keep agent leads separate from buyer and seller leads?
Use Smart Filters together with the Recruiting tag, and consider a dedicated Lead Status, to keep recruiting leads segmented in the CRM. -
I don't have agent testimonials yet. What should I use instead?
Share your own mentorship story, or use early feedback from recent hires until you've built up a testimonial library.
