How to Boost Lead Conversion and Save Time with Sierra Automations
Automate your workflows to scale lead engagement, improve response speed, and free up your team.
Why This Feature Matters
Manual follow-ups and disjointed workflows slow down your sales cycle and overwhelm your team. Sierra Automations enable you to streamline lead engagement and follow-up by creating rule-based workflows that trigger actions based on lead behavior, data changes, and other factors.
Real-world Example:
When a lead saves a property on your site (trigger), and their status isn’t “Blocked” (condition), Sierra can automatically assign them to an action plan (action). This ensures timely follow-up without manual intervention.
Who Has Access
All Sierra clients, except those on IDX-only and Starter package plans, have access to Automations. Any Primary Manager or Manager-level user can access the feature by default.
How to Access Sierra Automations
- Click the gear icon in the top navigation bar of your Sierra admin dashboard.
- Select Automations from the dropdown.
Creating a New Automation
- Click + New Automation to start.
- Give your automation a clear name and optional description to help you and your team remember its purpose.
Requirements:
- At least one trigger and one action
- Optional: up to 5 conditions
- Limit: 5 triggers, 5 conditions, and 5 actions per automation
Understanding Triggers, Conditions, and Actions
Think of it like a sentence:
- When [trigger]
- And if [conditions]
- Then [actions]
Example:
“When a tag is applied (trigger), and the lead’s status is not 'Blocked' (condition), assign a specific action plan (action).”
Automation Logic
- Triggers use OR logic
Any one trigger can activate the automation. - Conditions use AND logic
All must be true for the automation to proceed. - Actions execute sequentially if triggers and conditions are met.

Behavioral
- Showing requested
- Lead returns after [X] days
- Saves or views a property

- Birthday or anniversary in [X] days
- Specific date
- Date registered
- Contact delay ends
Note: Specific date triggers require at least one condition.
Action Plans
- Plan applied
- Plan completed without response
Agent Communication
- Outbound call outcome
Lead Assignment
- Assigned to agent, lender, collaborator, or pond
Integrations
- Revaluate score enters range [X–Y]
- Sierra AI activity

Adjust Execution Frequency
Customize how often each automation runs:
- Once per lead (default)
- Once per day
- As often as triggered
- Once every [X] minutes (5–180) or hours (1–23)
- Once every [X] days (default is 7)
Limits:
- 10,000 executions per day
- 425 active automations per account
Testing an Automation
Use the Test feature to validate setup:
- Choose the automation
- Select a lead
- Run a test to simulate execution
Rearranging Actions
Drag and drop to change the order in which actions apply.
Activating and Managing Automations
- Inactive means the automation won’t run
- Active means it executes for matching leads
Tags added during lead routing will trigger automations only after routing completes.
Using the Automations Dashboard
See all automations in one place:
- Name and description
- Triggers, conditions, and actions
- Times applied
- Status
- Last updated
- Edit, test, or delete options
You can also:
- Bulk delete
- Search by name
- Filter by status
Viewing Results and History
Results Tab
Shows the outcome of each automation:
- Completed
- Skipped
- Failed
- Errors
Instances Tab
Shows each automation run. You can search by lead name.
