What Are Bulk Actions?
Bulk Actions let you update, organize, and engage multiple leads at once — instead of managing them one by one.
Using Bulk Actions, you can:
- Apply the same update to many leads simultaneously
- Send messages to groups of leads in one step
- Assign or reassign ownership, campaigns, alerts, and tags at scale
This helps teams save time, reduce repetitive manual work, and ensure consistent follow-up across similar leads.
Bulk Actions are especially powerful when used with Smart Filters, which allow you to narrow down your lead list before applying changes to only the right group of contacts.
Where to Find Bulk Actions
You can access Bulk Actions from the Leads Dashboard:
Leads tab → Leads Dashboard → Navigation bar → Bulk Actions dropdown
Note: You must select at least one lead by clicking the checkbox to the left of the Status field for the Bulk Actions dropdown to become active. The dropdown will remain greyed out until at least one lead is selected.
Use filters or search first to display the specific group of leads you want to update, then use the Bulk Actions dropdown to apply changes.
List of Available Bulk Actions
The actions available to you depend on your permission level.
Agents can:
- Assign or unassign FAAP and TAP
- Assign or unassign drip campaigns
- Add or remove lead tags
- Send bulk emails
- Update lead status
- Send bulk text messages
- Add leads to the call list
Managers can:
- All Agent actions
- Assign leads to the pond
- Reassign leads to other users
Primary Managers can:
- All Agent and Manager actions
- Assign listing alerts (E-Alerts and Market Updates)
- Permanently delete leads
If you don’t see a specific bulk action, it’s likely due to your user role or permissions.
When to Use Bulk Actions
Bulk Actions are best used when you need to apply the same change or follow-up to multiple leads at once.
Common scenarios include:
- Sending a follow-up message to a group of similar leads
- Updating the status of many leads after an event or campaign
- Assigning or changing campaigns for a filtered list
- Adding or removing tags for segmentation
- Reassigning ownership during team changes or workload shifts
- Applying listing alerts to a group of interested buyers
Instead of repeating the same task dozens of times, Bulk Actions let you complete it once — accurately and consistently.
Bulk Actions with Leads Ponds
When working inside a Lead Pond, Bulk Actions behave differently depending on user role.
- Agent-level users can use only one Bulk Action in a Lead Pond: Add to Call List.
This is intentional so Agent-level users cannot “gamify” the system by bulk-emailing or bulk-texting leads to artificially move them into a Working status. - Manager-level users can enable additional Bulk Actions for Lead Ponds.
This setting is controlled under Lead Pond Settings on the Lead Ponds page.
This ensures Lead Ponds remain fair, balanced, and focused on proper lead engagement rather than automated manipulation.
Best Practices for Using Bulk Actions
1. Use Smart Filters First
Always filter your lead list before applying a bulk action. This ensures you're only updating the right contacts and helps prevent accidental changes.
2. Double-Check Your Selection
Before applying any bulk action, confirm that:
- The filters are correct
- The total number of leads shown matches your expectation
This helps avoid unintentionally updating the wrong group.
3. Create Templates for Emails and Texts
Set up email and text templates in advance so you can quickly send polished, consistent messages when using bulk messaging.
Templates help you:
- Save time
- Maintain consistent branding and tone
- Reduce the chance of typos or incomplete messages
4. Start Small When Testing
If you're using a bulk action for the first time, try it on a small group of leads before applying it to a larger list.
