Mass Import Your Leads Into the Sierra CRM with the Lead Import Wizard

Easily upload leads into Sierra CRM using a CSV file and the Lead Import Wizard.

 

Why This Feature Matters

 

 

The Lead Import Wizard helps you:

 

  • Save time by uploading leads in bulk

  • Assign leads to agents, ponds, or lenders automatically

  • Retain important custom data via import notes

  • Maintain CRM organization by handling duplicates intelligently

 

 

 

Step-by-Step Instructions

 

 

 

1. Prepare Your CSV File

 

 

  • File must be in .csv format

  • Excel users: Save as Comma Delimited CSV

  • Mac users: Export from Numbers to CSV

 

 

 

2. Match Lead Assignment to Sierra Users

 

 

  • Ensure assigned agents in the file have user accounts in Sierra

  • Otherwise, assign unmatched leads to a catch-all user

 

 


 

 

3. Use Accepted Field Names in Your CSV

 

 

Include any of the following columns (exact match required for auto-mapping):

 

  • First Name, Last Name, Full Name

  • Email (must be unique), Secondary Email

  • Phone, Secondary Phone, Phone Status

  • Date of Birth, Home Anniversary Date

  • Assigned Buyer’s Agent, Assigned Listing Agent, Assigned Agent

  • Assigned Pond, Lead Type, Buyer Agent Status, Listing Agent Status

  • Street Address, City, State, Zip Code, County

  • Lead Source, Registered Date (MM/DD/YYYY)

  • Average Price, Number of Visits, Number of Saved Listings

  • Short Summary (128 character max), Tags (comma-separated)

  • Add to Import Note: Data not matching other fields will be stored here

 

 

🛑 Only use one approach: either Assigned Agent or the combo of Assigned Buyer’s Agent / Assigned Listing Agent

 


 

 

4. Enable Access to the Wizard (If Needed)

 

 

  • Primary Managers have access by default

  • Grant access to Manager or Agent-level users under Users > Profile > Permissions

 

 


 

 

5. Access the Lead Import Wizard

 

 

  • Go to the Gear icon > Lead Import Wizard

 

 


 

 

6. Accept the Terms and Conditions

 

 

Before importing, you must agree to:

 

  • Have permission to contact all uploaded leads

  • Refrain from using purchased or scraped lead lists

  • Comply with all relevant legal and privacy guidelines

 

 


 

 

7. Upload Your CSV File

 

 

  • Choose the site (if applicable)

  • Click Upload a CSV File

  • The system will auto-match fields if headers match supported field names

 

 


 

 

8. Match Columns to CRM Fields

 

 

  • Review the matched columns

  • Use Edit to assign unmatched columns or click Skip to exclude

  • Unmatched fields can be added to the Import Note

 

 


 

 

9. Post-Mapping Options

 

 

After mapping, you can:

 

  • Assign leads to an agent or pond (if not included in file)

  • Assign a lender (if not included in file)

  • Apply one or more tags to all imported leads

  • Choose to Import Duplicates or Don’t Import Duplicates

     

    • If importing duplicates, existing leads are updated with new contact info and notes—but not overwritten

     

 

 


 

 

10. Complete the Import

 

 

  • Click Save and Import

  • You will receive an email notification once the import is complete

  • Limit: 5,000 leads per upload. Split files if needed.

 

 


 

 

11. Fixing an Import

 

 

  • Go to Gear Icon > Lead Import History

  • Click Remove Imported Leads to delete the entire batch

 

 

📝 Only the specific leads in that import batch will be removed.

 


 

 

Best Practices

 

 

  • Clean your CSV before upload—remove duplicates and validate emails

  • Use consistent tagging to help with Lead Routing and filtering

  • Don’t forget to assign leads to a pond or user if no agent match exists

  • Use the Import Note for storing custom or unsupported fields

 

 

 

Troubleshooting Common Issues

 

 

Issue: Leads not assigned correctly

Fix: Confirm assigned agents exist in Sierra and names match exactly

 

Issue: Import failed or fields missing

Fix: Check formatting, especially date formats and status values

 

Issue: Duplicate leads imported

Fix: Choose “Don’t Import Duplicates” during setup, or remove batch from Lead Import History

 

 

FAQs

 

 

Can I import leads with the same email address?

Yes, if you allow duplicates. New info will be added without overwriting existing data.

 

Can I apply tags to all imported leads?

Yes. You can add one or more tags during the final step before import.

 

Do imported leads get saved searches set up?

No. Saved searches are not created automatically via import.
