  • Frees up your time while maintaining consistent engagement with prospects.


Step-by-Step Instructions


Step 1: Prerequisites

Before creating a fully automated action plan:

  • Enable the Sierra Dialer at the account level

  • Connect to the Dialer at the user level

  • Connect your email in your User profile

Step 2: Choose Who Can Create Plans

  • By default, only the Primary Manager can create/manage plans

  • Manager-level users with permission “Can manage Contact Templates, Drip Campaigns and Action Plans” can also manage plans

  • If enabled in Action Plan Settings, all users (including agents and lenders) can create personal action plans

Step 3: Create a Plan from Scratch

  • Go to Leads > Action Plans > + New Action Plan > Fully Automated

  • Choose a Level: Account or Personal

  • Optional: allow agents to view or duplicate the plan

  • Click Next

Step 4: Define Actionable Window Behavior

  • Choose whether to send the first message outside the actionable window

  • Decide whether to send or skip Day 1 activities if timing falls outside the window

Step 5: Set Pre-Plan and Post-Plan Rules

Pre-plan: Stop the plan if the lead takes an action (e.g., form submission, contact)

Post-plan options based on lead behavior:

  • Lead responds: Trigger a drip, traditional plan, or apply tags

  • Lead doesn’t respond: Trigger another plan or apply tags

  • Lead unsubscribes: Apply tags or assign new follow-up

Step 6: Add Activities

Click + New Activity and select:

  • Email: Select template or write custom message

  • Text Message: Use template or write your own

  • Voicemail Drop: Choose from existing recordings or upload a new one

For voicemail recordings, access Voice Messages Manager:

  • Record via headset, phone call, or upload an .mp3/.wav file

  • Optionally enter a script for reuse

Step 7: Use Templates

  • Email and text templates can be managed in Admin > Contact Templates

  • Voicemail recordings are managed in User Profile > Voice and Text > Voice Messages Manager

Step 8: Import a Template Plan

  • Go to Leads > Action Plans > + New Action Plan > Import Sierra Action Plan

  • Select a template, import, and re-record voicemails in your voice before assigning

Step 9: Apply the Plan to Leads

  • Automatically through Lead Routing Rules or Tracking Link Generator

Manually via:

  • Lead Detail Page (individual)

  • Lead Dashboard (bulk apply)

    Note: Manual assignment is limited to 50 leads per day

Step 10: Understand Auto-Pause Behavior

Fully Automated Action Plans automatically pause when a lead:

  • Sends a text or email

  • Places a phone call

  • Submits a contact form

  • Is marked as “Talked to Lead” in a logged call

Step 11: Manage Plans from the Dashboard

From the Action Plan Dashboard, you can:

  • Edit, duplicate, or delete plans

  • View assigned leads

  • See plan-level stats: response rate, completions, unsubscribes

  • Click Metrics to see performance by activity

  • Use short, compelling messages early in the plan to capture interest.
  • Reuse successful sequences by duplicating plans to improve uptake.
  • Monitor unsubscribes closely to refine your messaging tone.
  • Always re-record voicemails in your own voice before assigning to maintain authenticity.


Troubleshooting Common Issues

  • Issue: Can’t assign a plan to a lead
    • Solution: Check that all required roles (e.g., Listing Agent) are assigned to the lead
  • Issue: Plan not visible to Agent-level users
    • Solution: Confirm “Make Visible to Agents” is enabled in plan settings

  • Do these plans stop when a lead replies?
    • Yes. A reply from the lead will auto-pause the remaining activities.
  • Can agents create personal fully automated plans?
    • Yes, if your admin has enabled that permission in Action Plan Settings.
  • How many fully automated plans can I apply per day?
    • You can manually assign up to 50 per day. Automatic assignments have no limit.
