How to Effectively Manage Lead Statuses to Boost Team Efficiency

Why This Feature Matters

Managing lead statuses is crucial for maintaining organized and efficient lead engagement. This feature:

  • Helps teams standardize lead engagement stages, ensuring everyone is on the same page.
  • Allows for easy filtering, segmentation, and workflow prioritization, enabling focused efforts on high-priority leads.
  • Supports visibility into lead progression by maintaining status history, facilitating informed decisions.
  • Enables clear handoffs between team members, reducing the chance of miscommunication.

Step-by-Step Instructions

1. Update a Lead’s Status

  • From the Leads Dashboard, click the dropdown arrow next to the lead’s name to choose a new status

  • Or, go to the Lead Detail Page and change the status from the primary contact panel

 

⚠️ Status names and colors are not customizable.

2. Common Lead Status Definitions (Example)

Your team can define custom meanings for each status. Here’s one team’s approach:
  • Blocked – Disables the lead’s login access and blocks incoming calls from the lead’s number (optional to unblock).

  • Additional statuses may be available depending on your setup (e.g., New, Attempted Contact, Nurture, Client, Closed, etc.)

3. View a Lead’s Status History

  • Only available to Primary Managers and Manager-level Users

  • Go to the Lead Detail Page → click the lead’s name field

  • A popup will display:

    • Buyer Agent Status History

    • Listing Agent Status History

    • Lender Status History

    • Who changed it, what it was changed to, and when

  • Align with your team to define consistent meanings for each status

  • Use statuses to trigger workflows, assignments, or automations

  • Regularly audit status history for coaching or QA purposes


Troubleshooting Common Issues

Issue: Can’t find a lead’s past status

Solution: Only visible to Managers. Make sure you have the appropriate permissions.

 

Issue: Can’t customize status labels

Solution: Status labels are currently fixed and not customizable in the platform.
