Why Call Lists Matter

It's tough to stay disciplined with follow-up when your CRM is overflowing. Randomly scrolling through leads often creates missed opportunities and mental fatigue. Call Lists solve this by giving you a clear, repeatable system to:

  • Focus on the highest-priority leads. For example, build a Call List just for "Prime" buyers who recently viewed multiple listings, or homeowners who opened a recent market update.
  • Keep everyone accountable. A Director of Ops can assign different agents or ISAs to specific lists, so they know exactly whom to call that day. To see how that accountability plays out over time, check out Track Team Performance with the Dialer Dashboard.
  • Work smarter, not harder. Instead of guessing, your team follows a pre-set list, which means less time deciding and more time connecting.

Pairing Call Lists with Smart Filters ensures every dial moves you toward closing more transactions and scaling your business.

Before You Begin

  • Your Sierra Dialer must be enabled at the team or account level, and each user must connect their own Dialer individually. Call Lists won't function without this. If you haven't set up your Dialer yet, start with Getting Started with Your Sierra Dialer (Agent Guide).
  • Set up any Smart Filters you plan to use ahead of time so your Call Lists pull the right leads automatically.

Step-by-Step Instructions

1. Connect Your Dialer
Confirm your Sierra Dialer is enabled at the team or account level, and that your individual user account is connected. This is required before you can start using Call Lists. For a full walkthrough of what your Dialer can do beyond calling, see the Sierra Dialer Guide: Calling, Texting, and Group Texting Leads.

2. Use Smart Filters to Find Leads
Go to your Leads Dashboard and create or select Smart Filters that target the leads you want to call. For example, filter for "Prime" leads who have recently saved properties, or by tags like "Open House Visitor." This ensures you're always calling the right segment. For the full range of filtering options, see Advanced Search and Smart Filters in the Leads Dashboard.save_smart_filter

3. Create Your Call List

  1. Navigate to Leads > Leads Dashboard.

  2. From the Manage Leads page, select the leads you want.

  3. Click the Bulk Actions menu and choose Add to Call List.

  4. You can also add leads one at a time from their Lead Detail Page.

4. Reorder as Needed
Drag and drop leads into your preferred calling order. For example, put recent website sign-ups first so you can follow up while interest is still hot.

5. Start Calling
Choose to call through your browser or your connected phone. Sierra automatically moves through the list, giving you a chance to review each lead's details before dialing. Need to reach one specific lead in a hurry instead of working the full list? Lead Quick-Call lets you call directly from the Lead Detail Page.

6. Log Every Call
After each conversation, log the outcome. This keeps your CRM clean, your pipeline clear, and makes it easier to follow up next time.

Best Practices

  • Always build your lists with Smart Filters so you're not wasting time on cold or low-quality leads.
  • Match your script to the list. For example, use a valuation-focused script for homeowners who've viewed market updates, versus a showing script for active buyers.
  • Block time on your calendar to work specific Call Lists, like a "hot buyer list" every Tuesday morning. This creates a dependable prospecting rhythm.
  • Log outcomes immediately to keep data fresh and avoid confusion later.

Troubleshooting Common Issues

Issue Solution
Skipped a lead Skipped leads automatically move to the end of your Call List so you can circle back.
Can't reorder the list Make sure you're editing an active Call List. You can drag and drop leads anytime before you start calling.
Not seeing the Dialer Confirm the Dialer is enabled for your team and that your individual user account is connected.

FAQs

  • Can I use Call Lists without Smart Filters?
Yes, but Smart Filters help you zero in on leads who are most likely to convert, making your lists far more effective.

  • Will leads be removed from a Call List if they convert?
Not automatically. You'll still want to manually manage your lists and statuses, updating as needed after calls.

  • How many Call Lists can I have?
As many as you'd like. Many teams create separate lists for new website registrations, hot buyers, past clients, or open house visitors.
